Job Summary:
The Continuing Medical Education Program/Project Coordinator supports the Departments of Orthopedics & Surgery by providing strategic support to a mid to large scale, recognized organizational program/project by coordinating all operations for the assigned program or project to facilitate the effective management of programs/projects according to organizational standards. Under the general direction of the respective Program Directors, the CME Program Coordinator will be responsible for the complete coordination and administrative activities for the Randall and Eleanor Departments of Surgery and Orthopaedic Surgery CME programs. The position will be responsible for corresponding with stakeholders and providing training/guidance on CME policies, CloudCME, and other related systems. Under the Director of Simulation and general direction of the Program Manager, the candidate will be responsible for residency skills lab, animal labs and robotics curriculum and maintenance of training certifications. Additionally, under the general direction of the Program Directors, the Program Coordinator will be responsible for the complete coordination and administrative activities for the Podiatric Surgery Residency program.
Principal Responsibilities:
- Coordinates and maintains applicable program/project schedules and agendas; which may include tracking deadlines, deliverables, composing meeting meetings and other correspondence/communication with management and/or stakeholders.
- Interfaces with other departments, staff, leaders and/or other partners in the administration of the program/project. Provide coordination of applicable logistics or information as directed by leadership.
- Organizes and coordinates the development of all featured events, outreach activities, meetings and materials/collateral; in the promotion and administration of the program/project. May actively represent the program and/or the organization.
- Helps foster a collaborative and positive relationship building dynamic with internal staff and external parties. May be responsible for providing any applicable education, training, on-boarding and/or mentorship pertaining to program/project.
- Supports the development and management of program/project budgets; maintain and track all supporting budget/financial files and documents. Interface with other departments, vendors and applicable community parties as needed.
- Responsible for creating reports for management in the evaluation of the program/project performance or day-to-day operations. May also be responsible for documenting and tracking program/project compliance.
- May provide feedback to management and make recommendations regarding program/project operations and/or procedures.
- Residency coordination of a CPME-accredited Podiatric Surgery Residency Program
CME general responsibilities include but not limited to:
- Coordinate CME program for Grand Rounds and Morbidity & Mortality (M&M) Conferences, including rooms reservations, communication with stakeholders, venues, presenters, travel arrangements, materials, refreshments, and technology are arranged and completed in an appropriate and timely manner.
- Act as liaison between Faculty, Residents, and Fellows.
- Assist with technology needs as necessary including audio visual set up for conference, lectureships, didactics, and grand rounds.
- Design and distribute promotional announcements for each activity to include program objectives and proper accreditation and credit designation statements.
- Maintain accurate CME attendance records for all staff physicians and provide transcripts for re-credentialing.
- Maintain online archive of recorded didactics, as applicable.
- Provide administrative support including coordinating special events including Resident Research Day.
- Manages speaker selection, communication, and agenda.
- Creates and manages master activity calendar and ensures information is posted correctly (website, flyers, etc.)
- Coordinate program materials to include audience response technology for presentations, printed handouts, evaluation reports, and other educational materials as needed.
Skills Lab and Robotics lab responsibilities include but not limited to:
- Coordinate skills lab, animal labs and robotics curriculum with stakeholders including rooms reservations, ordering necessary supplies, as applicable.
- Coordinate faculty instructors, resident learners’ schedules including calendar invites and reminders.
- Coordination of training sessions to meet training certifications for ASSET, FLS, FES, etc. and maintain record of compliance training.
- Provide back-up support to the Randall and Eleanor Departments of Surgery and Orthopaedic Surgery residency and fellowship programs, as needed.
- Maintain records of student attendance and skill performance
- Assist with proctoring exams, as needed.
- Coordinate all department residency program activities and independently provides complete administrative support including, but not limited to, curriculum, rotation schedule, personnel management and development, evaluation process, conferences, call schedules and maintains personnel and evaluation records.
Qualifications
Education
High School Diploma Required
Bachelor's Degree in Healthcare, Management or Business Administration Preferred
Experience
2 years Progressively responsible administrative or strategic support experience (Minimum)
3 years Organizational Program or Project coordination/support experience; utilizing program/project management and development procedures (Preferred)
Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail-oriented precision.
Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.
Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
Continuing Medical Education (CME) experience, preferred.
