What you will be doing in this role:
Under limited supervision, this position is responsible for performing office management, specialized administrative work and coordinating functions for the department. The Development Service Coordinator is primarily responsible for all aspects of office administration and provides support to the department. The Development Service Coordinator also serves as a point of contact and link between employees, internal departments, and external parties, including vendors, donors, and customers. Other key responsibilities include handling administrative duties, analyze and improve office processes and policies, and ensure that the office operates smoothly.
- Create and maintain accurate, consistent and current personnel files and records for the department of Advancement and perform day-to-day maintenance and updates as required.
- SDAN (Staff Development Advisory Representative) who coordinates and maintains educational information for employees for EEO, accreditation and licensure compliance. Disseminate training schedules, coordinate registration information and attendance documents. Inputs employee skills, certification dates and registering employees for hospital-wide classes in Lawson. Maintains certification list to ensure staff are compliant with all competencies for SharePoint posting.
- Interact with Purchasing, Finance and vendors handling internal requisitions, i.e., inventory requests for office supplies, using PeopleSoft. Processes check requests to ensure payments to vendors are handled timely and effectively.
- Monitors and tracks operating expenses/budgets.
- Coordinates and handles termination ePAFs for the department of Advancement. Assists with new hire process, by pulling job descriptions and annual evaluations.
- Organizes new-hire orientation packet, providing on boarding support relating to policies and procedures and standard methodologies for newly hired staff.
- Acts as liaison for the department of Advancement in responding to questions regarding JCAHO compliance.
- Provides back-up in assistance with calendar/meetings for VP, Advancement.
Qualifications
Requirements:
- High school diploma or GED required. Bachelor's degree in business administration or a related major preferred.
- A minimum of 2 years of Office and administrative experience required.
