What will you be doing:

The Administrative Assistant provides support for the Medical Group Operations and/or Operations Manager(s) by performing clerical, administrative and general office activities to support the facilitation of administrative workflow within the department and/or unit. May also coordinate the operations training programs, employee recognition program and incentive programs for Foundation staff. Responsible for confidential and time critical material. 

  • Provides administrative support by scheduling appointments and meetings, filing, opening/sorting mail, composing memos, minutes, and routine correspondence, generating reports, ordering office supplies, handling bulk mail jobs, etc.
  • Coordinates training, including the scheduling of trainers, preparation of training materials, design and distribution of forms and certificates, scheduling of students, maintaining database of training manuals and being responsible for their periodic review and updates.
  • Maintains all record-keeping associated with the staff incentive program, including attendance reports, patient satisfaction grids and missing charges tracking. Prepares materials for distribution to staff regarding progress towards goals. Acquires incentive gift certificates in advance of presentation.
  • Coordinates Employee Recognition Program for MNS, including solicitation of nominations from staff and management, preparation of ballots for committee review, drafting follow-up letters, organization of photos and all other recognition events.
  • Maintain timesheets and performs edits in UKG for CSMCF managers and for selected CSMCF personnel; distribute copies of the vacation/sick/personal time report to the CSMCF managers.
  • Receive invoices, match with packing slips, and code for accounts payable.
  • Provides general information to internal or external clients or customers, answers and directs phone calls, and routes inquiries to other departments in the organization as appropriate.
  • Distributes and disseminates information within the department and/or unit.
  • May assist with expense reports, monitoring budget, and/or tracking invoice payments.
  • Serve as back-up to the Receptionist and other Administrative Assistants.

Qualifications

Experience Requirements:

One (1) plus years of administrative experience, preferably in a healthcare/clinic/hospital setting. 

Epic or other related EMR/EHR systems experience preferred.

Educational Requirements:

High School Diploma/GED.

Associate’s degree in Business, Accounting, Healthcare Administration, or related field is preferred.
